Operations Coordinator - On Call

You have hands-on experience working as an Operations Coordinator or with multi-line telephone systems, and you’re confident managing both internal and external communications. You’re used to handling a steady stream of calls, transferring them to the appropriate departments, taking accurate messages, and providing helpful information when needed. You’re also familiar with supporting administrative tasks such as making and updating reservations, answering guest inquiries, and managing KYC messages or alerts.

We are looking for someone who can support us on an on-call basis (with no guaranteed hours) to help during peak periods and ensure smooth operations when activity is high.

About you… 

  • Proven experience in managing calls from in-house guests and ensuring they’re connected to the right department. 
  • Managing external calls, providing information, or transferring them as needed. 
  • Handling reservation requests over the phone and updating records accordingly. 
  • Checking and replying to emails in a clear and timely manner. 
  • Taking accurate phone messages and making sure they reach the right person. 
  • Using internal tools to send announcements or alerts. 
  • Supporting the front desk or reception team when needed. 
  • Assisting with general admin tasks to help keep communication running smoothly. 
  • Staying calm, polite, and professional at all times, even during busy periods. 
  • Multilingual abilities are a plus for assisting a diverse range of callers. 
  • Flexibility to meet the demands of a 24-hour operation.
